RCS influencers Ashley and Seth Pietsch say a proactive approach to subcontractor alignment is critical for success.

As an insurance company specializing in the construction industry, we can’t stress enough the importance of establishing a robust framework for aligning subcontractor work and safety practices with your company’s standards. To mitigate risks effectively, consider the following key steps:

1 - Rigorous vendor selection process – Always prequalify your subcontractors. Evaluate safety records, performance history and insurance and bonding capacities. Prioritize contractors with a proven commitment to safety and a track record of solid performance.

2 - Clearly defined expectations – Establishing transparent communication channels, clearly articulating your company’s expectations for workmanship and safety standards. Specify each party’s responsibilities regarding potential risks in the contract. Ensure subcontractors fully comprehend and commit to adhering to these guidelines before project commencement.

3 - Continuous monitoring and evaluation – Implement a robust monitoring system for continuous oversight of subcontractor performance. Conduct regular site inspections, safety audits and progress reviews to identify and address potential issues promptly. Encourage both subcontractors and your team members to report concerns promptly.

4 - Insurance policy review – Ensure subcontractors maintain adequate insurance coverage aligned with contract requirements. Review their insurance policies to protect all parties involved. Request to be added as an additional insured to extend coverage and safeguard your interests. Regularly verify that insurance certificates are current, promptly obtaining new certificates upon expiration.

5 - Safety collaboration – Foster collaboration between your company and subcontractors in developing and refining safety protocols for the project. Involving subcontractors in this process creates a shared commitment to maintaining a safe working environment.

6 - Document everything – Maintain records of crucial conversations with subcontractors, incorporating photos when possible. This documentation safeguards against potential legal battles arising from safety or workmanship issues during or after project completion.

By implementing these best practices, you not only fortify your company against potential risks, but also foster a collaborative and safety-focused environment.
